ABout the role

Alaska Functional Medicine + Spa is seeking a detail-oriented, resourceful, and highly professional Executive Assistant to support our CEO. This role is designed for someone who thrives on organization, problem-solving, and being a true right hand to an executive in a fast-paced, growing business.

This position is not about managing other team members — it is about directly supporting the CEO by ensuring the details are handled, the schedule runs smoothly, and tasks are completed from start to finish.

Key Responsibilities

  • Manage executive schedule and coordinate appointments.

  • Maintain inbox organization; prioritize and respond to communications as needed.

  • Call or text contacts on behalf of the CEO in a professional manner.

  • Scan, organize, and distribute documents, including incoming mail.

  • Pull bi-weekly tips reports from clinic software and send to bookkeeper.

  • Create reports, budgets, and trackers in Microsoft Excel and Google Sheets.

  • Research solutions and utilize resources (Google, AI, etc.) to complete tasks independently.

  • Assist with sensitive financial and high-value transactions, maintaining discretion at all times.

  • Handle occasional call forwarding, acting as the first point of contact when the CEO is unavailable.

Qualifications

  • Strong organizational and time management skills.

  • Proficiency in spreadsheets (Excel and Google Sheets required).

  • Exceptional written and verbal communication skills.

  • Ability to complete tasks from start to finish with accuracy and accountability.

  • Resourceful problem solver; comfortable using online tools and AI for efficiency.

  • Professional demeanor with the ability to represent a high-functioning executive.

  • Experience handling confidential financial information with discretion.

  • Prior executive assistant, administrative support, or high-level customer service experience preferred.
