Position: Part-Time Medical Receptionist

Hours: 8:30am - 5:00pm M/T/W

Schedule: 8 hours

Pay starting at: $18/hr

Required Experience: At least one year of customer service & computer skills

Job Description

  • Have customer service experience or experience working in a medical office or beauty industry

  • Be able to multi-task

  • Handle phones while maintaining accurate medical records, manage and understand two computer systems, all while keeping patient information private

  • Be able to pass initial and random drug tests; marijuana is still a drug and is unacceptable

  • No visible tattoos, no piercings, no unnatural/wacky hair dye or hairstyles

  • No cigarette smoking before or during work hours. You will be sent home if you smell like smoke

  • Personal grooming and self-care is of utmost importance. Leave personal problems at home, arrive at work groomed and ready to go

  • Being able to manage schedules of multiple providers and become familiar with two software platforms is a must

  • Have basic knowledge of Google Docs, Google Sheets, Microsoft Word, Microsoft Excel, Gmail

  • Have basic knowledge of computers, multi-line phones, printers, fax machines

  • Understanding of functional/integrative medicine is a plus! Knowledge in aesthetics is a plus!


Daily duties

  • Arrive at 8:30am

  • Check voicemails and return calls

  • Answer phones with a pleasant, professional tone of voice. Schedule patients by phone and in-person

  • Transfer calls appropriately to various staff members (ie. prescription calls to CMA, billing calls to billing dept, etc)

  • Immediately greet patients with a smile and notify staff of their arrival

  • Notify staff of schedule changes if late cancellation or walk-ins occur

  • Provide patients with appropriate paperwork and verify all information is accurate when checking in patients (ie. spelling of first/last name, date of birth, phone number, address, emergency contact)

  • Collect patient payments and schedule follow-up visits at every check-out

  • File and scan a superbill or receipt for every appointment.

  • Distribute mail to office manager

  • Keep front desk organized: food must stay in the break room; keep files tidy-looking

  • Attend to end-of-day duties including: making sure lights are off, doors are locked
